Being a Printer: We know! Time and Money Saving #Strategies for Sending Files for Print! By Rush Hour Printing and Graphics

We all want to save time, we want to send a file to the printer that is ready for print on the first try. You want to save money too, so you want to make sure the file is perfect enough so that no extra work is required, and no additional fees charged. Let’s explore this, shall we! What are some tips for ensuring that the print job is accepted on the first email to the print shop? 

Tip #1 – What files should you send? - If you have the original file PLUS a PDF format, send them both. The original file could be InDesign, PowerPoint, Word, Illustrator, etc. If the PDF is missing a later version of the document, it can be fixed and printed accordingly but only if the printer has it. 

Tip #2 – If the Files ‘Bleed’ – There will be times when the colors and images run all the way to the edge of the paper, this is what we refer to as bleeding. Any printer will have to run the document through the press. If the piece is bleeding, then the paper will have to resized, usually to a bigger size sheet to give the press enough space in the paper to feed the paper through the literal press. This means that the bleed has to extend by 1/8” on all sides. This will have to be included in the native files as well as in the PDF document. 

Tip #3 – Always Include Crop Marks – This will let the print shop know where to cut the piece after it is printed. 

Tip #4 – If the piece doesn’t have the bleeds – Make sure the margin is at least 1/4” on all sides where there isn’t a text or image. This is how much white space you need around the piece to make it look properly before and after printing.

Tip #5 – If using Word or PowerPoint, never use the Bold or Italic buttons - Instead of using the shortcuts, literally go to the Font Window (CTRL D) and choose the font you want. 

Tip #6 – The images need to be 200-300 dpi - This is what you need for good quality in the final print. So, if the post is 24’’ x 36’’, the image must be 200-300 dpi at that size. Don’t download off the internet and expect them to look properly when printed. Downloaded images are often at 72 dpi unless it says differently. 

Tip #7 – If you are using InDesign or Illustrator – then include all images, font and links to the files. 

Tip #8 – Understand what the difference is between RGB, CMYK, and PMS color space – The color of the images and the text that you see on the computer screen are actually created using three colors (RG: Red, Green, Blue). Digital copies are created using 4 colors (CMYK: Cyan, Magenta, Yellow, Black). Spot color processes create color by using PMS (Pantone Matching System), the same as paint color from a paint chip at the hardware store, for example. This is why the document’s colors are different once printed. It is always best NOT to design in RGB color space but instead to use CMYK or specific PMS colors.
